How I Work
The briefing process
Face-to-face meetings are preferred (especially for your first project), however email and phone briefings are of course welcome.
Generally I like to get an understanding of the broader context of your project and any style guides or terminology guidelines of which I may need to be aware, as well as an understanding of the target audience.
Working format
I’m happy to work in any format that suits you. The most common formats my clients and I work in are:
- Microsoft Word using the 'track changes' tool
- Microsoft PowerPoint using the 'highlight' tool
- Adobe (PDF) using the 'highlight' and/or 'comment' tool
- Google Docs or Slides using the 'comment' tool
- Direct editing of content (electronic)
I also have skills in using traditional proofing symbols for hard copy editing if required.
Turnaround times
My turnaround times depend on the length of the material, however I can generally turn most projects around within a few days. For short, urgent pieces, I can usually get them back to you within 24 hours.
The time required for your project will be estimated once I receive your brief.
What I look out for
In addition to spelling, grammar and punctuation, I also thoroughly check the following:
- Syntax
- Suitability for the audience
- Consistency
- Visual accuracy such as pagination, page references and contents
- Adherence to style guide
- Logic
- Clarity
Pricing
The time required for a project depends on the amount of content, the level of editing required, the thoroughness of the brief, the complexity of the content, and the number of revisions requested.
My rate is $100 per hour.
I offer a reduced rate for not-for-profit organisations. Get in touch to find out more.
Once I have an understanding of your project and what’s involved, I will always provide an estimate of the time required before the quote is approved and any work begins. I will also provide updates if I have under-estimated or over-estimated on the time required.
For new clients, I generally request either a Purchase Order or an up-front deposit of 50%, with the balance invoiced after project completion. However, I'm happy to negotiate payment terms depending upon individual circumstances.

Angela Thwaites – Healthcare HQ
Running a super busy (on-call) business within the Healthcare sector doesn't always allow time to focus on critically important policies, print collateral, website updates and tender proposals. This is where Polished Proofreading has been my saviour. I can confidently rely on Jen to proof, edit and make changes, all within an impressive timeframe. Having worked with Jen in an agency setting and also in a contractor capacity, I've had many years of first-hand experience as to the level of her professionalism and the quality of her work.
Her attention to detail is superb and her understanding of grammar and various copy sensibilities makes her my go-to proofreader regardless of the type of project.
Recently, we delivered 22 highly detailed technical sheets for a range of products we were launching in the Australian market. Jen was instrumental in ensuring the accuracy and quality of the content met the high expectations of our global partners and local practitioners.

FAQs
Many things to ensure your written material is error-free, to-the-point and professional. The key areas a proofreader looks at are:
- Spelling
- Grammar
- Punctuation
- Syntax
- Suitability for the audience
- Consistency
- Visual accuracy such as pagination, page references and contents
- Adherence to style guide (where relevant)
- Logic
- Clarity
- Simplicity
In addition to the things a proofreader looks for, an editor reviews the 'big picture' and finds ways to improve the organisation and flow of the content. This could include areas of repetition, redundancy, irrelevance, etc., to help make the content clear, concise and easy to read.
The line between the proofreader and the editor can often be rather blurred. Polished Proofreading can provide straight proofreading services, editing services, or a combination should both be required.
My rate is $100 per hour.
I offer a discounted rate for not-for-profit organisations.
I charge by the hour rather than a project fee as it can often be difficult to estimate the hours that may be required for a particular project.
I will, however, provide estimated time required for your project before starting the work, and keep you posted on any changes to this estimate once the work is underway.
My minimum charge is just two hours, so feel free to contact me for even your smallest requests!
If you have a style guide – or even brand guidelines – I will adhere to those.
If not, I will discuss any particular style preferences with you and ensure their consistency throughout.
These may include things such as:
- Time and date formats
- American-English or British-English
- Capitalisation for brand or product names
- Certain punctuation preferences
My most commonly used formats include:
- Adobe PDF marked up using the highlight and comment tools
- Microsoft Word using the track changes tool
- Microsoft Powerpoint
- Google Docs
- Google Slides
- Direct editing of content
I'm also happy to work in hard-copy if required, and am proficient at using traditional proofreading symbols.
Yes. I'm experienced in structural editing as well as proofreading and am happy to quote on as little or as much editing as you need.
They really depend on the amount of content, the complexity of the brief, the nature of the subject matter, and what sort of shape the content is in.
Generally speaking, I can turn very small requests around in 24-48 hours and larger projects within a week.
Very large projects would require upwards of two weeks.
My standard quotes will include one round of revisions.
Any additional rounds of revisions will be subject to an additional quote.
To respect my clients' privacy, I choose not to publish work on my website, however I'm more than happy to send you examples of previous work if requested.
